Contact and Account Information: If you create an admin account as a travel agency, we may collect information such as your name, business name, email address, phone number, and login credentials. This information is used to register and manage your account and to provide you with access to our dashboard.
WhatsApp Messages and Phone Numbers: Our platform processes WhatsApp messages and phone numbers of travelers who interact with your travel agency via JourneyBot AI. This includes the content of messages which may contain travel inquiries or other information provided by travelers. We collect and process this information solely to facilitate automated responses and services through WhatsApp on your behalf.
Payment Information: When you make payments for our services, payment details (such as transaction identifiers and billing information) are handled by our third-party payment processor, Razorpay. We do not store your sensitive financial information (e.g. credit card numbers) on our servers; such information is transmitted directly to Razorpay, which has its own privacy and data security practices.
Automatically Collected Data: We may collect certain technical information when you access our admin portal, such as your IP address, browser type, device information, and usage data. We might use cookies or similar technologies for session management and to remember your preferences. These cookies do not collect personal details beyond those necessary for functionality and security of the service.

We retain personal data only for as long as necessary to fulfill the purposes outlined in this policy or as required by law. Specifically, WhatsApp message content and phone numbers processed through our platform are not stored indefinitely. Message data is retained only temporarily to ensure delivery and for troubleshooting (if needed), after which it is deleted from our active systems. We may retain non-personal logs or aggregated data (which do not identify any individual) for analytics and improvement of the service.
Account information and other business-related data (such as billing records, account history, and support communications) may be kept for longer periods as necessary for our internal records, to comply with legal obligations, or to enforce our agreements. When personal data is no longer needed, we will securely delete or anonymize it. If you wish to request deletion of your personal data, please see Section 6 on your rights.
We take the security of your data seriously. JourneyBot AI implements appropriate technical and organizational measures to protect personal information against unauthorized access, alteration, disclosure, or destruction. For example, data transmissions between our services and WhatsApp or OpenAI are encrypted, and we restrict access to personal data only to those employees and contractors who need it to operate or improve the Service.
Please note, however, that no method of transmission over the Internet or electronic storage is completely secure. While we strive to use commercially acceptable means to protect your information, we cannot guarantee its absolute security. You are responsible for maintaining the confidentiality of any account credentials in your possession and for notifying us immediately of any unauthorized access to your account.
Access and Correction: If you are a registered travel agency admin user, you can access and update certain account information by logging into your JourneyBot AI dashboard. You are responsible for keeping your account information current and accurate.
Opt-Out (End Users): JourneyBot AI facilitates communications on behalf of travel agencies. If you are a traveler receiving messages and you wish to stop receiving automated messages, please contact the travel agency you are interacting with or follow any opt-out instructions provided in their messages (e.g., sending a "stop" message). Travel agency users can deactivate the JourneyBot AI service or unsubscribe from certain features through their account settings.
Data Deletion: If you would like to request deletion of personal data that we hold (for example, if you are a travel agency client and wish to delete your account, or a traveler who believes your personal data has been processed by our service), you may contact us at our email address provided in Section 11. We will review such requests and, where applicable, comply by deleting or anonymizing personal information that we are not required to retain. Please note that deleting certain data may affect our ability to provide you with services.
Communication Preferences: If we send you any marketing or promotional communications (which is rare and typically only directed to travel agency users), you will have the ability to opt out of receiving further marketing emails. Even if you opt out of marketing messages, we may still send you transactional or administrative emails related to your use of the Service (for example, important service updates or billing notices).
International Users: If you are using our service from outside India, you may have additional rights under your local data protection laws (such as the GDPR in the European Union). Where applicable, these may include the right to object to or restrict processing of your data, and the right to data portability. We will honor such rights to the extent required by law. Our website and services may contain links to or integrations with third-party websites and services, such as payment processors or other tools. This Privacy Policy applies only to JourneyBot AI and our own platform. We do not control the privacy practices of third parties. If you access links to third-party websites or services (for example, Razorpay for payment processing), these third-party services are governed by their own privacy policies and terms. We encourage you to review the privacy policies of any third-party services you engage with.
Notably, communications facilitated via WhatsApp are subject to WhatsApp’s own terms and privacy policy. JourneyBot AI uses the WhatsApp Business API to send and receive messages, but we do not control how WhatsApp or Meta (the parent company of WhatsApp) handles data on their platforms. Please refer to WhatsApp’s privacy policy for more information on how WhatsApp manages message data transmitted through their system.
Our services are intended for use by businesses and are not directed to children under the age of 18. We do not knowingly collect personal information from children. Travel agencies should not use JourneyBot AI to knowingly solicit or collect data from minors without appropriate parental consent. If we become aware that we have inadvertently collected personal information from a child under 18 without proper consent, we will take steps to delete that information. If you are a parent or guardian and believe that a child’s personal information has been provided to us improperly, please contact us so we can investigate and address the issue.
JourneyBot AI is based in India, but we and our service providers (such as OpenAI) may process data in countries outside of your home jurisdiction. If you use our services from outside India, be aware that your information (including personal data and communications content) may be transferred to and stored on servers located in India, the United States, or other countries. These countries may have data protection laws different from those in your country of residence.
By using our service or by providing us with your information, you consent to the transfer of information to India and other jurisdictions as described in this Privacy Policy. We will take appropriate measures to ensure that your personal data remains protected in accordance with this Policy and applicable law, wherever it is processed.
